I. Test Administration Event Confirmation

  • Client associations will set-up a test administration event, choosing their own set of test centers from SMT's approximately 100 partner PPT centers.
  • Selected partner centers receive e-mail notification of the test administration event. The message includes a link to the Event Confirmation page on the SMT PPT website. The partner center Test Coordinator logs into the PPT site, views
    information about the event (client, date and time, test length, special instructions), chooses whether or not to host the test administration event, and submits the Event Confirmation. Note: Partner centers refusing three sessions within a three-month period are subject to deauthorization.


II. Examinee Roster and Testing Materials

  • Approximately two to three days prior to the test administration event, the Coordinator receives an e-mail announcing the availability of the Examinee Roster for the event. The e-mail contains a link to the Examinee Roster page of the SMT PPT website. The partner center Test Coordinator logs into the PPT site and prints the Examinee Roster.
  • No more than one week prior to the test administration event, the Coordinator receives the examination materials via secure carrier. The Coordinator immeidately opens the shipment and confirms the quantity of materials against the packing list included in the shipment. If any discrepancy exists, the Coordinator logs into the PPT website, completes Shipping Discrepancy Report, and submits the report to SMT. SMT will contact the Coordinator to resolve the discrepancy.
  • The Coordinator removes the Administration Instructions from the testing material shipment.
  • The Coordinator reseals the testing shipment and places it in a secure (locked) location until the testing date.


III. Proctor(s)

  • Prior to the testing date, the Coordinator secures one proctor for each fifteen (15) examinees. The Coordinator provides each proctor with a copy of the Administration Instructions. The Coordinator reviews the Administration Instructions with all proctors to ensure understanding. Each proctor signs the Administration Instructions (these are returned to SMT with the completed testing materials).
  • The Administration Instructions will contain general information and any client-specific directions (such as the materials, if any, candidates are allowed to bring to the administration event).


IV. Checking in Examinees and Administering the Examination

  • On the testing day, the Coordinator retrieves the examination materials and distributes to each proctor a set of testing materials for examinee.
  • The Coordinator (or authorized designee) checks in each examinee by (a) checkingAdmission Tickets, (b) confirming identify against a government-issued picture ID, and (c) having each examinee sign the Examinee Roster. If an examinee cannot produce his or her Admission Ticket or government-issued ID, the Coordinator contacts SMT immediately by phone.
  • Proctor(s) administer the examination in accordance with the Administration Instructions. Note: proctors must monitor the test
    administration throughout the testing event.
  • If any irregularities (e.g., interruption, excessive noise, etc.) occurs during the testing session, the coordinator logs into the secure PPT test center site and submits an Incident Report.
  • If a proctor observes a suspected cheating incident, s/he must provide a written description of the incident to coordinator, including the name(s) of the individual(s) involved. The proctor will not interrupt the testing session or confront the individual(s) involved in the suspected cheating incident. The coordinator must immediately call SMT to report a suspected cheating incident.


V. Packaging and Returning Testing Materials

  • Following testing, the Coordinator collects and packages all testing materials in accordance with instructions. The Coordinator includes the signed Examinee Roster, the proctor-signed Administration Instructions, and all testing materials in the shipment to SMT in the packaging materials provided by SMT and using the designated secure carrier. The Coordinator only needs to call the designated carrier to arrange a pick-up, but materials must be secured until then.
